Privacy policy

This policy explains what personal information Vigilante Studio collects when you use this website, order mastering or get in touch, how we use it, and the choices you have. We keep it short and only collect what we need to do the work.

Who we are

Vigilante Studio is the trading name of Vigilante Music Limited, company number 06083410, of 20 Churchfield Road, Chalfont St Peter, Bucks SL9 9EN. We are the controller of the personal information described here.

For anything to do with your data, email info@vigilantestudio.co.uk or call 01753 424293.

What we collect

When you order. Your name, email address, phone number and billing address; your project details (artist name, project title, release type, track titles, running times and any notes you add); and the audio files you upload.

When you pay. Card payments are handled by Stripe. We never see or store your full card number; we receive a confirmation of payment and limited details such as the card type and last four digits.

When you create an account. Your login details and order history, so you can track projects and download your masters.

When you get in touch. The name, email address, phone number and message you send through the enquiry form, by email or by phone.

When you sign up for updates. Your email address and the fact that you agreed to hear from us.

When you browse. If you allow it, information about how you use the site, such as pages viewed, the device and browser you use and roughly where you are. See Cookies and analytics below.

How we use it and why

We use your information for the following purposes, each with a lawful basis under data protection law:

  • To carry out your order: mastering your tracks, delivering your masters, sending order emails and answering questions about the work (performance of a contract).
  • To take payment and keep accounts: invoices, VAT and company records (legal obligation).
  • To reply to enquiries and give you a quote (legitimate interests, or steps before entering a contract).
  • To keep the site secure and prevent spam and fraud (legitimate interests).
  • To send news and offers, only if you have opted in. You can unsubscribe at any time from the link in each email (consent).
  • To understand how the site is used and improve it, only if you accept analytics cookies (consent).

We do not sell your information, and we do not use it for automated decision-making.

Your audio files

Your mixes and masters stay yours. We use them only to carry out your order. They are stored in a private area of our server that cannot be reached from the web, and we never share them, publish them or use them for anything else (including training any software) without your written permission.

Files you upload but do not go on to order are deleted automatically within 48 hours. Download links for your masters are personal to you and expire after 24 hours; you can create a new one from your account at any time.

Who we share it with

We share personal information only with service providers who help us run the studio, under contracts that require them to keep it safe and use it only on our instructions:

  • Rocket.net, who host this website and the files stored on it.
  • Stripe, who process card payments.
  • Brevo, who send our emails and newsletter.
  • Google (Google Analytics and Tag Manager) and Matomo, for website statistics, only if you accept analytics cookies.
  • Our accountant and professional advisers, where needed to keep proper records.

We may also disclose information where the law requires it. Some of these providers process data outside the European Economic Area, for example in the United States. Where they do, the transfer is protected by recognised safeguards such as adequacy regulations or standard contractual clauses.

Cookies and analytics

We use a small number of essential cookies to make the site work, for example to keep items in your basket, remember your upload progress and keep you logged in. These do not need your consent.

Analytics and marketing cookies are only set if you accept them in the cookie banner. You can change your choice at any time with the Cookie settings button at the bottom of every page. Our cookie policy lists each cookie we use and what it does.

How long we keep it

  • Orders and invoices: six years from the end of the financial year they relate to, as company and tax law requires.
  • Audio files: for as long as needed to complete your order and handle any revisions, then deleted. Ask us at any time if you would like your files removed sooner.
  • Uploads you do not order: deleted automatically within 48 hours.
  • Enquiries: up to two years after our last contact, unless they lead to an order.
  • Newsletter: until you unsubscribe.
  • Accounts: until you ask us to close yours, subject to the order records above.

Keeping it secure

The site runs over an encrypted connection, uploads and masters are kept in private storage, download links are signed and expire, and access to orders is limited to the studio. No system is completely secure, but we take reasonable steps to protect your information and will tell you and the regulator if a breach puts you at risk.

Your rights

You have the right to ask for a copy of the information we hold about you, to have it corrected or deleted, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on your consent, you can withdraw it at any time. These rights have some limits; for example, we must keep order records for the periods the law sets.

To use any of these rights, email info@vigilantestudio.co.uk. We will reply within one month and there is normally no charge.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

We may update this policy from time to time. The latest version will always be on this page.
